Step 1

Add your team

Names, pay rates, W-4s, and bank details. Import a spreadsheet or pull the roster and year-to-date totals from your current provider.

Step 2

Approve each payroll run

Check hours and any one-off items, then approve.

Step 3

We pay your team and file the taxes

We file the federal 941 (or 944, if the IRS has you filing annually) and 940, state withholding and unemployment, local taxes where they apply, and new-hire reporting. We also take care of W-2s and 1099-NECs at year-end.

Why is it free?

Unlike other payroll companies, we don’t make money from core payroll services. KindWage generates revenue from products and services that are complementary to payroll — and completely optional.

What other products or services do you offer?

Let us know if you need workers’ compensation insurance, health benefits, or 401(k) administration. (We may receive a referral fee.)

What businesses qualify for free payroll?

Among other criteria, you must have an incorporated business with a credible banking relationship.

How long does it take to switch?

Changing payroll providers used to be a hassle. With modern payroll systems, switching providers is a turnkey process. Many companies prefer to switch at the end of a quarter, since payroll taxes are filed quarterly, but you can switch to KindWage at any time of the year. Our team and technology make it easy.

Can I pay contractors?

Yes, in the same run as your employees. Contractors get their own logins, and we take care of 1099-NECs at year-end.

Where do you operate?

We can process payroll for employees in all fifty states. We do not process payroll for employees outside the United States.
